Who we are This notice explains how NS Global Productions Ltd (trading as Northstar Films) ("Northstar Films", "we", "us", "our") collects, uses, and protects personal data belonging to contributors, interviewees, talent, and other individuals who appear in or contribute to our factual and documentary productions.   1. About this notice Appearing in a documentary or factual programme involves sharing personal information with us, sometimes of a sensitive nature. This notice sits alongside any consent form, release form, or contributor agreement you sign for a specific production. Where a signed agreement sets out more detail for that production, both apply, and the agreement will not reduce the protections described here.
  1. The information we collect Depending on your involvement, we may collect: Contact details: name, address, email, telephone number, and date of birth. Casting and background information you provide during research, casting calls, or pre-interviews. Filmed and recorded material: interviews, footage, photographs, and voice recordings. Release and consent forms, and any correspondence about your participation. Where relevant to the story, information from public sources or introduced by third parties, such as other contributors.
  1. Special category data Factual storytelling sometimes involves special category data, meaning information about health, ethnicity, religious or philosophical beliefs, sexual orientation, or, in some cases, criminal offence data. We only collect this where it is relevant to the story you are contributing to and with your knowledge. Our legal basis for processing special category data is your explicit consent, recorded through a signed consent or contributor form, or, in limited circumstances, the substantial public interest condition connected to journalism, where a story could not fairly be told without this information. We will explain which applies before you contribute.
  1. How we use your information and our legal basis We use contributor and talent data to: Assess suitability for a production during casting and research, relying on our legitimate interests in developing accurate, fair programming. Produce, edit, and deliver the programme, relying on the performance of your contributor agreement and, for filmed contributions, your consent. Meet legal, compliance, and broadcasting standards obligations, such as Ofcom requirements, relying on legal obligation. Promote the finished programme, where covered by your release form, relying on consent or contract.
  1. Consent and your right to withdraw it Where we rely on your consent, for example to film you or to process special category data, you have the right to withdraw that consent at any time by contacting us. Withdrawing consent does not affect the lawfulness of anything we did with your data before you withdrew it, and it does not automatically require us to remove or recall material that has already been broadcast, published, or archived. Depending on the circumstances, continued use of that material may still be justified under the journalism exemption in data protection law, which permits some rights to be limited on a case by case basis where necessary for content produced in the public interest. We will always discuss any concerns with you and consider what is reasonably possible.
  1. Who we share your information with We share contributor and talent data only where necessary to produce and deliver the programme: Broadcasters, commissioners, and distributors, such as the channel or platform commissioning or airing the programme. Production personnel, including edit staff and freelance crew engaged on the project, under confidentiality obligations. Legal, compliance, or insurance advisers, where needed to clear a programme for broadcast. IT and productivity providers who support our production process, currently Microsoft 365 (Outlook and SharePoint), Google Workspace, ClickUp, and Apple iCloud. We do not sell contributor data or share it for third-party marketing purposes.
  1. International transfers Programmes may be distributed internationally, and some of our service providers may store or process data outside the UK, including in the United States. Where this happens, we rely on safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or the provider's adequacy-based transfer mechanisms.
  1. How long we keep your information Casting and research information for contributors who are not taken forward is kept for up to 12 months, then deleted. Signed consent and release forms, and the associated footage, are retained for the life of the programme, including for archival, legal, and compliance purposes, which for broadcast content is typically indefinite. Where you are not selected to appear in the final edit, we will delete unused footage and personal data within a reasonable period unless you agree otherwise or we have a legal reason to retain it.
  1. Automated decision-making We do not use automated decision-making or profiling that produces legal or similarly significant effects on contributors or talent.
  1. Your rights Under UK GDPR, you have the right to: Access the personal data we hold about you. Have inaccurate data corrected. Request erasure of your data, where applicable. Restrict or object to our processing of your data. Receive a copy of your data in a portable format. Withdraw consent at any time, where consent is our legal basis, subject to section 6 above. Data protection law includes an exemption for journalism, which can, in specific and limited circumstances, apply to broadcast and documentary content prepared for publication in the public interest. Where this exemption genuinely applies, it may limit some of the rights above, particularly in relation to material already prepared for or included in a finished programme.   1. How to complain If you are unhappy with how we have handled your personal data, please contact us first so we can try to resolve the issue. You also have the right to lodge a complaint with the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or by calling 0303 123 1113.
  1. Changes to this notice We review this notice regularly and will update it to reflect changes in our practices or the law. The date at the top shows when it was last revised.
